Expert Office 365 Migration Services
Office 365 migration services move your email, files, calendars and user identities from Exchange, Google Workspace, GoDaddy, IMAP or another Microsoft 365 tenant into Microsoft 365. O365CloudExperts by Apps4Rent is a Tier-1 Microsoft CSP delivering these migrations end to end, with data pre-staged and synced before a weekend cutover.
We serve organizations from single-mailbox businesses to enterprises running 500+ users across multiple offices and hybrid environments. Over 100,000 migrations completed, with SHA-256 integrity verification on every mailbox transferred.
Our managed Microsoft 365 migration services cover the full engagement: pre-migration discovery and mailbox inventory, a fixed-fee scope of work, staged data pre-load with delta sync, DNS cutover scheduled off-hours or across a weekend, and post-migration support with no expiry window. A dedicated migration manager and lead engineer are assigned to your project at kickoff, introduced by name before work begins, and reachable directly for the duration.
Free email migration is included with any annual Microsoft 365 plan purchased through us.
Migration Methods We Support
Four methods, selected on your source platform, user count and tolerance for coexistence. We recommend one during discovery and document why.
| Cutover | Staged | Hybrid | Tenant to Tenant | |
|---|---|---|---|---|
| Source | Exchange 2003 to 2013 | Exchange 2003 or 2007 only | Exchange 2010 SP3 and later | Exchange Online |
| Users | Under 150 recommended | 150+ | Any size, best above 500 | Any size |
| How it moves | All mailboxes at once | Batches over weeks | Batches, either direction | Batches by department or entity |
| Coexistence | None | Temporary, requires directory sync | Full, can be permanent | Temporary |
| Typical timeline | Single weekend | Weeks | Weeks | Weeks |
| Best for | Small teams needing a fast, clean break | Legacy environments too large for a single cutover | Enterprises needing phased moves or a permanent hybrid | Mergers, acquisitions, divestitures, restructuring |
Workloads & Sources We Migrate
A successful Microsoft 365 migration involves more than just moving email. Businesses depend on multiple workloads—mail, files, collaboration tools, and identity systems—that all need to transition smoothly to the cloud. Our approach ensures that each source is handled with care, using the right process and migration for Office 365 to preserve data integrity and minimize disruption.
Exchange & Exchange Online
We carry out full Exchange to Office 365 migration projects, including mailboxes, calendars, contacts, and distribution lists. Whether the environment is Exchange 2010, 2013, hosted Exchange, or an existing Exchange Online migration, we apply the proper exchange migration tool and tested methods to complete the move with minimal downtime.
Microsoft Teams & Groups
Teams and Groups form the backbone of modern collaboration. Our Teams migration services cover channels, chats, files, and memberships while keeping structures intact.
OneDrive & SharePoint Online
For many organizations, files and documents are at the center of daily operations. We migrate OneDrive and SharePoint content, covering files, libraries, permissions, and metadata. Whether consolidating tenants or planning to migrate to Office 365 for the first time, our process ensures users have uninterrupted access to their content.
Identity & Directory Services (Azure AD / Entra ID)
We migrate and streamline identity systems to maintain seamless user access during and after the transition. Our team manages Azure AD Connect sync, identity cleanup, password policies, group memberships, and authentication readiness to ensure sign-ins and permissions stay consistent throughout the migration.
Office 365 Migration Process
Migrating to Microsoft 365 requires careful planning and precise execution to ensure users retain full access to their data without interruption. At Apps4Rent, Our O365 migration project plan follows structured migration plan steps to ensure data integrity and minimal downtime.
-
Assess existing mail accounts, mailbox sizes, and domain setup to define a tailored migration strategy.
-
Export emails, contacts, calendars, and other user data from the source environment using supported tools.
-
Set up user accounts and configure the migration in the Microsoft 365 admin center.
-
Transfer data securely using IMAP or dedicated third-party migration tools.
-
Verify migrated content and update DNS records to direct mail flow to Microsoft 365.
-
Provide end-user support, reconfigure devices, and resolve post-migration issues to ensure a seamless transition.
Security, Compliance & Microsoft Purview
Every Office 365 migration we deliver is planned with security and compliance at the forefront. Beyond moving workloads, we align the process with Microsoft’s compliance frameworks to protect data and meet regulatory requirements.
Through Microsoft Purview, we enable governance features such as Data Loss Prevention (DLP), eDiscovery, and audit logging, ensuring organizations retain visibility and control throughout and after the transition. These measures safeguard sensitive information while supporting regulatory obligations.
We also protect data during the move itself. Encryption, secure transport, and access controls are applied at every stage. Whether it’s an Exchange Online migration, a larger Microsoft 365 migration, or a specialized migration from Google Workspace to Microsoft 365, our approach keeps data secure and compliant from start to finish. For projects where clients need to migrate Roundcube to Office 365, our approach keeps data secure and compliant from start to finish.
Coexistence & Directory Sync
In staged and hybrid migrations, uninterrupted access matters as much as the end result. Coexistence keeps users working normally while systems move underneath them.
Microsoft Entra Connect (formerly Azure AD Connect) keeps identities, passwords and group memberships consistent across on-premises and cloud. Users sign in with the same credentials whether their mailbox has moved yet or not.
During coexistence, we preserve cross-premises free/busy calendar lookup, a unified global address list, and mail flow between on-premises and cloud mailboxes. Users see one directory and one calendar view regardless of where any individual mailbox currently lives.
This matters most for organizations that cannot move everyone in a single weekend. Migrations running across several weekends, or holding a permanent hybrid for compliance or line-of-business application reasons, stay fully functional throughout.
Office 365 Migration from Any Platform or Provider
We migrate from on-premises servers, hosted email providers and competing cloud suites. If your source platform is not listed, it is almost certainly still supported.
Email platforms and servers
Exchange Server 2010 through 2019 · Exchange Online (tenant to tenant) · Google Workspace · IMAP · POP3 · Lotus Notes · Kerio · Zimbra · GroupWise · AWS WorkMail · Mozilla Thunderbird · SharePoint
Hosting and service providers
GoDaddy including tenants requiring defederation · Rackspace · Bluehost · Intermedia · 1&1 IONOS · cPanel-based hosting · AOL

Running Exchange 2016 or 2019?
Both reached end of support on October 14, 2025. No security patches, no bug fixes, no technical support from Microsoft. Exchange Server Subscription Edition is now the only supported on-premises option, which means every remaining on-premises organization faces a decision: upgrade to SE and stay on-premises, or move to Exchange Online.
We migrate from Exchange 2010 through 2019 directly to Microsoft 365, including environments several versions behind that cannot upgrade in place.
What Goes Wrong in Office 365 Migrations
Most failed migrations do not fail at the data transfer. They fail at the things nobody inventoried beforehand. These are the six we see most often.
Delegate and shared mailbox permissions disappea
Full Access, Send As and Send on Behalf permissions do not carry across automatically with every migration tool. Users arrive Monday unable to open the shared mailbox they have used for years. We inventory every permission relationship during discovery and re-apply them as a verified step, not an assumption.
Archive provisioning runs out of runway
Auto-expanding archives grow at a maximum of 1 GB per day per license [verified]. An organization with 400 GB of archive data cannot have it provisioned over a cutover weekend. We size archives during discovery and start provisioning early.
Microsoft throttles the migration mid-transfer
Microsoft applies per-account transfer limits during migration. Batches sized without accounting for them stall partway, and a stalled batch during a cutover window is what turns a weekend into a week. Batch sizing is planned around those limits from the start.
Distribution lists and dynamic groups break
On-premises distribution groups, mail-enabled security groups and dynamic membership rules need to be recreated or synchronized deliberately. Mail to a group that silently stopped resolving is rarely noticed until a customer complains.
DNS TTL is not lowered in advance
If the MX record TTL is still at its default when you cut over, mail keeps routing to the old host for hours after the switch. We lower TTL days ahead so the cutover window is measured in minutes, reducing delays, minimizing disruption, and ensuring faster propagation.
Monday morning buries the helpdesk
Outlook profile rebuilds, OST re-downloads and mobile device re-enrollment all land on the same morning. We reconfigure clients and devices as part of the engagement and staff support for the first working day after cutover.
Move to Microsoft 365 With Zero Data Loss, Zero Downtime
A dedicated migration manager and lead engineer own your project start to finish, with a documented rollback point captured before every batch.

Documented rollback point at every stage
Before each batch, we capture a restore position and define the conditions that trigger a rollback. If a batch fails validation, users return to the source environment with no data loss or disruption while we resolve it.
Complex environments
Multi-domain hybrid, GoDaddy tenants requiring defederation, partial tenant splits, and organizations several Exchange versions behind that cannot upgrade in place.

What is Office 365 Migration?
Microsoft Office 365 migration entails the process of transitioning an organization’s email, documents and other data from an on-premises environment or another cloud platform to Microsoft’s cloud-based productivity suite, Microsoft Office 365. This migration typically involves moving essential data such as emails, contacts, calendars and documents from an existing system to Microsoft Office 365 while ensuring minimal disruption to business operations.
The intricacies of this migration process are vast and multifaceted, influenced by numerous factors unique to each organization. Considerations such as the organization’s size, the intricacy of their current setup, the nature of data to be migrated and the selected migration approach all play pivotal roles in shaping the (Microsoft Office 365 Migration) migration roadmap.
Each organization’s migration experience is as unique as their fingerprint. Some may opt for a phased migration approach, gradually transitioning different departments or segments of data to minimize disruption.
